Responsibilities
- Guest Relations: Greet and welcome visitors warmly, determine the nature of their business, and direct them appropriately or announce their arrival.
- Phone Management: Answer incoming calls professionally, screen and route them to the correct department, and take accurate messages.
- Administrative Support: Perform data entry, manage filing systems, and assist with general office correspondence to ensure smooth daily operations.
- Scheduling: Coordinate meeting rooms, manage calendars for executives, and schedule appointments with precision.
- Mail & Logistics: Sort and distribute incoming mail, packages, and deliveries in an organized and timely manner.
- Office Maintenance: Maintain the reception area, conference rooms, and common areas to ensure a professional and welcoming environment.
- Vendor Coordination: Handle incoming deliveries and interact with service vendors as needed.
Qualifications
- Experience: Proven experience as a Receptionist, Front Desk Officer, or in a similar administrative role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a customer-first attitude.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
- Professionalism: High level of integrity, reliability, and professional appearance.
- Education: High school diploma or equivalent required; Associate’s degree in Business Administration is a plus.
