Responsibilities
- Calendar Management: Expertly manage complex calendars, schedule meetings, and coordinate travel arrangements with precision.
- Communication Hub: Handle email correspondence, screen and route phone calls, and serve as the primary point of contact for clients and vendors.
- Document Control: Prepare, proofread, and distribute professional correspondence, presentations, and reports using Microsoft Office Suite.
- Data Management: Perform accurate data entry, maintain updated electronic and physical records, and assist with basic bookkeeping tasks.
- Project Support: Assist project managers with research, scheduling, and coordinating team activities to ensure project milestones are met.
- Office Operations: Maintain office supplies inventory, manage incoming and outgoing mail, and ensure a welcoming environment for visitors.
Qualifications
- Experience: Minimum of 2 years of professional experience as an Administrative Assistant or Executive Assistant.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CRM software is preferred.
- Communication: Exceptional written and verbal communication skills with a professional and polished demeanor.
- Organization: Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced setting.
- Flexibility: Must be adaptable to changing schedules and comfortable working both independently and collaboratively.
- Education: High school diploma or equivalent required; Associate’s degree or relevant business certification is a plus.
