Responsibilities
- General Office Operations: Manage the front desk, answer and redirect phone calls, and greet all visitors and clients in a professional manner.
- Calendar & Scheduling: Schedule appointments, manage executive calendars, and coordinate travel arrangements.
- Document Management: Prepare, proofread, and edit correspondence, presentations, and reports using Microsoft Office Suite.
- Data Entry & Filing: Maintain accurate digital and physical records, files, and databases; ensure data integrity and confidentiality.
- Communication: Draft emails, memos, and internal communications to ensure clear and effective information flow.
- Meeting Support: Set up meeting rooms, prepare agendas, take minutes during meetings, and distribute follow-up action items.
- Supply Management: Monitor office supply inventory and place orders as needed to ensure the office is fully equipped.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or a related field is preferred.
- Experience: No prior professional experience required (Entry Level), but familiarity with office procedures is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional phone voice.
- Organization: Strong time management skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Interpersonal: Ability to work collaboratively in a team environment and interact positively with diverse groups of people.
