Responsibilities
- Schedule Management: Manage the executive’s calendar, schedule appointments, and coordinate meetings and conference calls.
- Communication: Screen and direct phone calls and visitors, and respond to inquiries in a professional manner.
- Documentation: Prepare, edit, and distribute correspondence, reports, memos, and presentations using Microsoft Office Suite.
- Travel Coordination: Arrange domestic and international travel, including flights, hotels, and ground transportation.
- Office Operations: Maintain office supplies inventory, handle incoming and outgoing mail, and manage courier services.
- Project Support: Assist in various administrative projects, data entry, and filing system organization.
- Client Relations: Serve as the first point of contact for clients, ensuring a welcoming and professional experience.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Experience: Proven experience (2+ years) as an Administrative Assistant or in a similar office support role.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and CRM software.
- Communication: Excellent written and verbal communication skills with a professional telephone manner.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively in a busy environment.
- Location: Must be willing to work on-site in New York, NY.
