Responsibilities
- Calendar Management: Schedule, coordinate, and manage complex calendars for senior staff, including booking meetings and handling travel arrangements.
- Communication: Serve as the primary point of contact for internal and external stakeholders via phone and email, maintaining a professional and courteous demeanor.
- Document Control: Prepare, proofread, and distribute correspondence, reports, and presentations with a focus on accuracy and formatting.
- Office Operations: Oversee general office duties including greeting visitors, managing incoming/outgoing mail, and maintaining office supplies inventory.
- Data Entry: Maintain and update digital and physical filing systems, ensuring data integrity and confidentiality.
- Meeting Support: Prepare agendas, take minutes, and set up conference rooms for internal and client meetings.
Qualifications
- Experience: Minimum of 2 years of experience in an administrative or office support role.
- Education: High school diploma or GED required; Associate’s degree preferred.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Attention to Detail: Strong ability to manage multiple priorities and ensure accuracy in all tasks.
- Interpersonal Skills: Excellent verbal and written communication skills with a customer-service mindset.
- Problem Solving: Ability to troubleshoot office issues independently and suggest process improvements.
