Responsibilities
- Manage the front desk reception area, ensuring a professional and welcoming environment for all visitors and clients.
- Handle incoming and outgoing communications, including email correspondence, phone calls, and mail distribution with a high degree of professionalism.
- Schedule and coordinate meetings, including booking conference rooms, preparing agendas, and taking minutes when required.
- Assist with data entry, filing, and maintaining accurate digital and physical records for the department.
- Prepare and edit documents, presentations, and reports using the Microsoft Office Suite and Google Workspace.
- Order and maintain office supplies and inventory, managing vendor relationships and processing invoices.
- Support senior management with ad-hoc administrative tasks, travel arrangements, and special projects.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration or a related field is preferred.
- Minimum of 2-3 years of proven experience as an administrative assistant or in a similar office support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent written and verbal communication skills with a polished and professional demeanor.
- Strong organizational skills with the ability to multitask, prioritize tasks, and meet deadlines effectively.
- Ability to work independently with minimal supervision while adhering to strict confidentiality protocols.
