Responsibilities
- Calendar Management: Manage and coordinate complex calendars, scheduling meetings, appointments, and conference calls; prepare and distribute agendas.
- Correspondence: Prepare and edit correspondence, including emails, memos, reports, and presentations with a high level of professionalism.
- Office Operations: Oversee office supplies inventory, process invoices, and handle expense reports to ensure efficient financial administration.
- Travel Coordination: Arrange domestic and international travel arrangements, including flights, hotels, and ground transportation.
- Communication Hub: Screen and direct phone calls, visitors, and incoming mail; serve as the primary point of contact for internal and external stakeholders.
- Record Keeping: Maintain accurate and up-to-date filing systems, both physical and digital, ensuring confidentiality and easy accessibility.
Qualifications
- Education: High School Diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Experience: Minimum of 2-3 years of professional administrative experience in an office setting.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a focus on customer service.
- Organization: Strong time-management skills and the ability to prioritize tasks in a fast-paced environment.
