Responsibilities
- Calendar & Meeting Management: Schedule and coordinate meetings, appointments, and conference calls, including travel arrangements and itineraries.
- Communication Hub: Manage incoming communications via email and phone, drafting responses and directing inquiries to the appropriate team members.
- Document Management: Prepare, proofread, and distribute internal memos, reports, and presentations with a high degree of accuracy.
- Office Operations: Maintain an organized filing system (both physical and digital) and oversee office supply inventory and vendor relationships.
- Data Entry: Input and update data in databases and spreadsheets, ensuring data integrity and confidentiality.
- Event Coordination: Assist in planning and logistics for company events, team-building activities, and client networking sessions.
- Support Services: Provide general administrative support to management, including expense reporting and basic bookkeeping tasks.
Qualifications
- High school diploma or equivalent required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Minimum of 3 years of experience in an administrative support role.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional written and verbal communication skills with a professional demeanor.
- Strong organizational skills with the ability to prioritize tasks and meet strict deadlines in a fast-paced environment.
- Ability to work independently while collaborating effectively within a team structure.
- Familiarity with customer relationship management (CRM) software is a plus.
