Responsibilities
- Calendar & Meeting Management: Manage complex calendars for senior executives, schedule meetings, coordinate venues, and prepare necessary meeting materials and agendas.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation, ensuring all requirements are met.
- Correspondence: Draft, proofread, and distribute professional correspondence, including emails, memos, reports, and internal newsletters.
- File Management: Organize and maintain both physical and digital filing systems to ensure easy retrieval of documents and sensitive information.
- Data Entry & Reporting: Accurately input data into databases and generate reports using Excel or similar tools to track project progress and office metrics.
- Office Operations: Assist with office supplies inventory, manage vendor relationships, and support special projects as needed.
- Client Relations: Serve as the first point of contact for incoming calls and visitors, ensuring a professional and welcoming experience.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or higher in Business Administration preferred.
- Experience: Proven experience (2+ years) as an Administrative Assistant, Executive Assistant, or in a related administrative role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with CRM software is a plus.
- Communication: Excellent verbal and written communication skills with a professional and polished demeanor.
- Organization: Exceptional organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Flexibility: Ability to adapt to changing priorities and work independently with minimal supervision.
