Responsibilities
- Data Management: Accurately input, update, and maintain data in company databases, spreadsheets, and CRM systems with a focus on error-free transcription.
- Administrative Support: Manage incoming emails, screen phone calls, and handle correspondence in a professional and timely manner.
- Scheduling & Coordination: Schedule appointments, coordinate meetings, and prepare meeting agendas and travel itineraries.
- Record Keeping: Organize and file physical and electronic documents to ensure easy retrieval and compliance with company policies.
- Inventory Management: Assist in tracking office supplies and inventory levels, placing orders as needed to prevent shortages.
- Reporting: Prepare routine reports and summaries from entered data to assist management in decision-making.
- Front Desk Support: Greet visitors, direct them appropriately, and manage incoming mail/deliveries.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative or data entry role.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) with advanced knowledge of Excel (Pivot Tables, VLOOKUP) highly preferred.
- Typing Speed: Minimum of 45 WPM with high accuracy (less than 5% error rate).
- Attention to Detail: Demonstrated ability to spot errors and maintain data integrity.
- Communication: Excellent verbal and written communication skills in English.
- Location: Must be willing to work on-site in San Antonio, TX.
