We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team in New York City. As a key member of our operations department, you will be responsible for maintaining our database with precision and ensuring our office runs efficiently. In this role, you will act as the first point of contact for our clients and partners, managing a high volume of data entry tasks while providing top-tier administrative support to senior management. Responsibilities
- Manage Data Integrity: Perform high-volume data entry with 99.9% accuracy, updating client records and internal databases regularly.
- Calendar & Scheduling: Coordinate complex calendars, schedule meetings, and arrange travel itineraries for executive staff.
- Document Management: Prepare, proofread, and distribute reports, memos, and correspondence with a focus on clarity and professionalism.
- Communication Hub: Serve as the primary point of contact for phone and email inquiries, routing messages to the appropriate departments.
- Office Operations: Maintain office supplies, manage filing systems, and assist with general clerical duties as needed.
- Compliance: Ensure all administrative processes adhere to company policies and regulatory standards.
Qualifications
- Education: High school diploma or GED required; Associate’s degree preferred.
- Experience: Minimum 2 years of experience in administrative support, office management, or data entry roles.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Typing Speed: Minimum 45 WPM with high accuracy.
- Attention to Detail: Demonstrated ability to spot errors and maintain data consistency.
- Communication: Excellent verbal and written communication skills in English.
