Responsibilities
- Office Management: Oversee the daily operations of the front office, including greeting visitors, managing the reception area, and answering multi-line phone systems.
- Scheduling & Coordination: Manage complex calendars, schedule appointments, and coordinate meetings for department heads and executives.
- Document Management: Prepare, proofread, and distribute internal memos, reports, and correspondence with a high degree of accuracy.
- Data Entry & Records: Maintain and update digital and physical filing systems, ensuring confidentiality and easy retrieval of documents.
- Vendor Relations: Handle incoming inquiries from vendors and clients, escalating issues as necessary to ensure timely resolution.
- General Support: Assist in ordering office supplies, coordinating catering, and supporting team events.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration is a plus.
- Experience: Minimum of 2 years of experience in an administrative or office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software is preferred.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong time-management skills with the ability to prioritize tasks in a dynamic environment.
- Reliability: Must be punctual, detail-oriented, and able to work independently.
