Responsibilities
- Manage Communications: Handle incoming emails, phone calls, and mail with a professional and courteous demeanor; screen and direct inquiries appropriately.
- Calendar & Scheduling: Maintain and coordinate complex calendars, schedule meetings, arrange travel logistics, and prepare itineraries for executives.
- Document Management: Prepare, edit, and format documents, reports, and presentations using MS Office Suite; maintain organized digital and physical filing systems.
- Office Operations: Order and maintain office supplies, manage inventory, and assist in setting up meeting rooms and conference calls.
- Event Coordination: Assist in planning and organizing company events, team-building activities, and client gatherings.
- Data Entry: Accurately input and update data into company databases and spreadsheets; generate basic reports as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Certificate in Office Administration is preferred.
- Experience: Minimum of 2-3 years of proven experience in an administrative support or office assistant role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot).
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with clients and stakeholders.
- Organization: Strong attention to detail and the ability to multitask effectively in a fast-paced environment.
