Responsibilities
- Manage executive calendars, scheduling appointments, and coordinating meetings
- Handle incoming communications (phone, email, mail) with professionalism and discretion
- Prepare, edit, and distribute confidential documents and reports
- Coordinate office operations including supply inventory, equipment maintenance, and vendor relations
- Support travel arrangements and expense report processing for executives
- Assist in onboarding new employees and maintaining HR records
- Perform data entry and maintain accurate digital filing systems
Qualifications
- Associate's degree or equivalent experience in administrative support
- Minimum 3 years of administrative assistant or office coordination experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills
- Strong organizational abilities with attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Discretion when handling confidential information
- Valid California driver's license and reliable transportation
