Responsibilities
- Manage executive calendars, coordinate complex meeting arrangements, and prepare comprehensive meeting materials
- Oversee office inventory procurement, vendor relationships, and facility maintenance coordination
- Process confidential correspondence, expense reports, and financial documentation with precision
- Serve as primary point of contact for internal/external stakeholders via phone, email, and in-person interactions
- Develop and maintain digital filing systems ensuring HIPAA/GDPR compliance
- Coordinate travel arrangements, event planning, and logistics for departmental activities
- Assist in onboarding processes and maintain comprehensive employee records
Qualifications
- Associate's degree in Business Administration or related field (or equivalent experience)
- Minimum 3 years progressive administrative support experience in a corporate environment
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Exceptional written/verbal communication skills with attention to detail
- Proven experience managing confidential information and sensitive documents
- Ability to multitask competing priorities in a fast-paced setting
- Proficient with office equipment (printers, scanners, AV systems)
- Experience with HRIS systems (e.g., Workday, BambooHR) preferred
