Responsibilities
- Front Desk Management: Oversee the front desk operations during weekend hours, ensuring a welcoming and organized environment for all visitors and employees.
- Visitor Reception: Greet guests warmly, sign them in, and direct them to the appropriate personnel or meeting rooms with a professional demeanor.
- Phone Support: Answer incoming calls, screen inquiries, and take accurate messages or route calls to the correct extensions.
- Administrative Support: Handle incoming mail, distribute packages, and manage the scheduling of weekend appointments or meetings.
- Data Entry: Maintain accurate records of visitor logs, appointment schedules, and general office correspondence using our CRM software.
- Facility Maintenance: Ensure the reception area and common spaces are tidy, stocked with supplies, and presentable at all times.
- Vendor Coordination: Assist in coordinating weekend maintenance or service visits as needed.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Communication: Excellent verbal and written communication skills with a friendly and professional telephone manner.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with modern front desk management software.
- Reliability: Must be available to work weekends consistently (Saturday and Sunday) with the ability to adapt to changing schedules.
- Professionalism: A polished appearance and strong interpersonal skills to represent the company brand effectively.
