We are seeking a highly organized and professional Weekend Receptionist to join the team at Horizon Administrative Services. Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phones, and direct inquiries to the appropriate departments with a professional and welcoming demeanor.
- Data Entry: Accurately input and update customer information, invoices, and employee records into our internal databases and CRM systems.
- Mail & Distribution: Sort and distribute incoming mail, packages, and faxes efficiently at the start of the business day.
- Office Maintenance: Maintain the cleanliness and organization of the reception area, conference rooms, and break areas.
- Administrative Support: Assist with light filing, scheduling meetings, and preparing basic documents as needed.
- Security Access: Monitor security systems and control access to the building during weekend hours.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Data Entry Skills: Proven ability to type accurately at a speed of 45+ WPM with a high degree of attention to detail.
- Schedule: Must be available to work weekends (Saturday and Sunday) on a regular basis.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with industry-specific software.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Education: High School Diploma or GED required; Associate's degree preferred.
