Responsibilities
- Administrative Support: Manage incoming and outgoing mail, process invoices, and organize physical and digital filing systems to ensure records are easily retrievable.
- Front Desk Operations: Greet visitors and clients professionally, answer multi-line telephones, and screen calls with a polite and helpful demeanor.
- Data Entry: Accurately input and update data into our CRM and database systems to ensure records are current and accessible.
- Supply Management: Monitor office inventory levels for weekend operations, restock break rooms, and order supplies as needed to keep the office running.
- Meeting Coordination: Set up conference rooms for weekend meetings, arrange refreshments, and handle basic audio-visual equipment.
- General Office Tasks: Perform other clerical duties as assigned to support the administrative staff.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree preferred.
- Experience: Previous experience in an office or administrative setting is a plus, but we are willing to train the right candidate.
- Availability: Must be available to work weekends (Saturday and Sunday) consistently.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
- Communication: Strong verbal and written communication skills with a professional phone manner.
- Organization: Exceptional time management skills and the ability to prioritize tasks in a fast-paced environment.
