Responsibilities
- Front Desk Management: Greet and direct visitors with a high level of professionalism, answer multi-line phones, and manage incoming correspondence.
- Scheduling: Coordinate and maintain calendars for department heads, including booking conference rooms and scheduling meetings.
- Data Management: Maintain accurate digital and physical filing systems, organize databases, and prepare detailed reports.
- Customer Support: Respond to client inquiries via email and phone, ensuring timely and accurate resolutions.
- Office Operations: Assist with basic accounting tasks, such as processing invoices and expense reports, and managing office supplies inventory.
- Event Coordination: Assist in the planning and execution of weekend company events or training sessions.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or administrative certification preferred.
- Experience: Proven experience in an administrative or reception role (1+ years preferred).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Communication: Excellent written and verbal communication skills with a polished phone manner.
- Reliability: Must be available to work every weekend (Saturday and Sunday) for the duration of the employment term.
