Responsibilities
- Reception Support: Greet and direct visitors professionally, answer multi-line phone systems, and manage incoming correspondence with a friendly demeanor.
- Document Management: Organize, file, and digitize physical documents to maintain an efficient and accessible record-keeping system.
- Data Entry & Reporting: Accurately input data into CRM and office software, prepare weekly reports, and maintain spreadsheets.
- Meeting Coordination: Schedule and coordinate weekend meetings, arrange conference rooms, and set up audiovisual equipment as needed.
- Inventory & Supplies: Monitor office supply levels, place orders for necessary materials, and manage petty cash.
- General Office Support: Assist with special projects, process mail, and support team members with ad-hoc administrative tasks.
Qualifications
- Experience: Minimum 1-2 years of administrative or office support experience.
- Availability: Must be available to work Saturdays and Sundays on a consistent basis.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional phone etiquette.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced setting.
- Education: High School Diploma or GED required; Associate's degree preferred.
