Role Overview:
The Weekend Administrative Assistant will serve as the first point of contact for our clients and visitors, ensuring smooth daily operations. You will handle a variety of administrative tasks, from managing correspondence to assisting with event coordination, all while maintaining a professional and welcoming atmosphere.
Responsibilities
- Front Desk Management: Greet and welcome visitors, answer multi-line phones, and direct inquiries to the appropriate department promptly.
- Correspondence: Draft, proofread, and distribute emails, memos, and internal communications with high attention to detail.
- Record Keeping: Maintain accurate digital and physical filing systems, including contracts, reports, and client records.
- Calendar Management: Schedule and coordinate meetings, appointments, and conference room bookings for executive staff.
- Data Entry: Input and update data in CRM software and spreadsheets, ensuring 100% data accuracy.
- Office Supplies: Monitor office inventory and order necessary supplies to ensure operational readiness.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or relevant administrative certification is a plus.
- Experience: Minimum 2 years of experience in an administrative or office support role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
- Reliability: Must be available to work Saturdays and Sundays consistently.
