Responsibilities
- Manage daily office operations including mail processing, supply inventory, and equipment maintenance
- Coordinate calendars, schedule appointments, and arrange travel logistics
- Handle confidential documentation with discretion and maintain organized filing systems
- Provide exceptional customer service via phone, email, and in-person interactions
- Assist with data entry, report generation, and basic bookkeeping tasks
- Collaborate with department heads to support project coordination
- Prepare meeting materials and ensure conference rooms are properly set up
Qualifications
- High school diploma or equivalent; associate's degree preferred
- 2+ years of administrative or office support experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication and interpersonal skills
- Strong organizational abilities with attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Basic knowledge of office equipment (copiers, scanners, phone systems)
- Spanish fluency highly desirable for bilingual client interactions
