Responsibilities
- Manage multi-line phone system with 50+ daily calls, triaging inquiries to appropriate departments
- Greet and screen visitors in a high-traffic corporate lobby, maintaining professional security protocols
- Coordinate complex executive calendars across 8 departments using Microsoft Outlook
- Process incoming/outgoing mail, packages, and office supplies with inventory management
- Support HR initiatives including onboarding paperwork, interview scheduling, and benefits administration
- Oversee office equipment maintenance and vendor relationships for 15+ service providers
- Execute event logistics for quarterly company meetings and client functions
Qualifications
- 3+ years experience in corporate reception or executive support roles
- Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel)
- Exceptional verbal/written communication skills with multilingual capabilities preferred
- Proven ability to manage competing priorities in fast-paced environments
- Professional demeanor with crisis management and conflict resolution skills
- Experience with scheduling platforms (Calendly, Doodle) and office management software
- Associates degree in Business Administration or related field required
