Responsibilities
- Manage multi-line phone system, screening calls, and routing to appropriate departments
- Coordinate executive calendars, scheduling appointments, and managing meeting logistics
- Process incoming/outgoing mail, packages, and office supplies inventory
- Oversee visitor protocol including badge issuance, escort services, and conference room scheduling
- Assist with onboarding new hires by preparing welcome kits and workspace setup
- Administer office equipment maintenance and coordinate with IT support
- Support HR initiatives including interview coordination and onboarding documentation
Qualifications
- 3+ years of progressive receptionist or front desk experience in corporate environments
- Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Exceptional verbal communication and professional phone etiquette
- Proven ability to multitask and prioritize competing demands
- Discretion in handling confidential information and sensitive situations
- Experience with visitor management systems (e.g., Envoy, SwipedOn)
- Associates degree or equivalent professional certification preferred
