Responsibilities
- Greet and Welcome Guests: Provide a warm and professional welcome to all visitors, clients, and vendors in a timely manner.
- Phone Management: Answer and direct incoming calls to the appropriate departments or individuals using a multi-line phone system.
- Front Desk Operations: Manage the front desk area, ensuring it remains neat, organized, and professional at all times.
- Mail and Communications: Sort and distribute incoming mail and packages, and manage outgoing correspondence.
- Appointment Scheduling: Coordinate and schedule appointments and meetings for staff members, including sending reminders.
- Office Support: Assist with general clerical duties, such as data entry, filing, and maintaining office supplies inventory.
Qualifications
- High School Diploma: Minimum of a high school diploma or GED required.
- Previous Experience: 1-2 years of professional receptionist or administrative assistant experience preferred.
- Communication Skills: Excellent verbal and written communication skills with a professional telephone manner.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer operations.
- Time Management: Ability to multitask effectively in a fast-paced, busy office environment.
- Professional Appearance: Must maintain a professional and polished appearance at all times.
