Responsibilities
- Front Desk Management: Greet and welcome guests warmly, ensuring a positive and professional first impression for all visitors entering the office.
- Communication Hub: Manage incoming calls professionally, routing them to the appropriate department or individual, and taking accurate messages.
- Administrative Support: Handle front desk operations, including mail distribution, package logging, and managing the reception area to ensure a clean and organized environment.
- Scheduling: Schedule and coordinate appointments and meetings using calendar management tools, ensuring all attendees are informed and rooms are prepared.
- Data Entry & Reporting: Assist with general administrative tasks such as data entry, filing, and preparing basic reports to support office efficiency.
- Vendor & Supply Management: Monitor office supply levels and coordinate with vendors for necessary replenishments.
Qualifications
- Education: High school diploma or GED equivalent required; Associate's degree or certification in Office Administration is a plus.
- Experience: Minimum of 2 years of professional receptionist or administrative support experience preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace required.
- Communication: Exceptional verbal and written communication skills with a professional and friendly demeanor.
- Organization: Strong organizational skills with the ability to multitask effectively in a fast-paced, high-volume environment.
