- Front Desk Management: Greet all visitors warmly and professionally, directing them to the appropriate department or meeting room.
- Phone Operations: Answer and route incoming calls with a polite and helpful tone; manage call screening and voicemails.
- Scheduling: Coordinate meeting rooms, manage the company calendar, and schedule appointments for internal staff.
- Administrative Support: Sort and distribute incoming mail, faxes, and packages; prepare outgoing mail and couriers.
- Customer Service: Address visitor inquiries and provide accurate information regarding our services and business hours.
- Office Maintenance: Maintain the reception area, ensuring it is organized, clean, and fully stocked with office supplies.
- Data Entry: Assist with data entry tasks and maintaining accurate digital and physical records.
Qualifications
- Experience: Minimum of 1-2 years of experience as a receptionist or in an administrative support role.
- Education: High school diploma or GED required; Associate’s degree or certification in office administration is preferred.
- Communication: Excellent verbal and written communication skills with a focus on professionalism and clarity.
- Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
- Time Management: Ability to multitask effectively and prioritize tasks in a busy office environment.
