Responsibilities
- Front Desk Operations: Greet and welcome guests and clients with a professional and friendly demeanor; manage the reception area to ensure it is tidy and organized.
- Communication Management: Answer and direct incoming phone calls, take accurate messages, and handle email inquiries promptly.
- Scheduling & Coordination: Manage the office calendar, schedule appointments, and coordinate meeting room bookings and video conference setups.
- Administrative Support: Handle incoming and outgoing mail, process shipments, and assist with basic data entry and filing tasks.
- Customer Service: Assist visitors with directions and inquiries, ensuring a seamless experience for everyone entering the building.
- Vendor Relations: Handle deliveries and interact with service vendors as needed.
Qualifications
- Experience: Proven experience as a Receptionist or in a similar administrative role.
- Communication Skills: Exceptional verbal and written communication skills with a polished phone manner.
- Organization: Strong attention to detail and the ability to multitask effectively in a busy office environment.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
