Responsibilities
- Manage the front desk reception, greeting visitors and directing them to the appropriate personnel with a professional and welcoming demeanor.
- Perform accurate and efficient data entry into our CRM and internal databases, ensuring all records are up-to-date and error-free.
- Answer and screen incoming phone calls, taking detailed messages and routing inquiries to the correct department.
- Handle incoming and outgoing mail, packages, and faxes, ensuring timely distribution.
- Assist with scheduling appointments and managing the executive calendar using Microsoft Outlook.
- Prepare meeting materials, take minutes, and maintain office supplies inventory.
- Provide general administrative support to the management team as needed.
Qualifications
- High school diploma or GED required; Associate's degree in Business Administration or related field is a plus.
- Proven experience as a Receptionist or in a similar administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data entry software.
- Fast typing speed (minimum 35 WPM) with exceptional attention to detail.
- Strong verbal and written communication skills.
- Ability to multitask effectively in a busy office setting while maintaining a positive attitude.
- Relevant certifications in office management or data processing are a plus.
