Responsibilities
- Front Desk Management: Greet visitors and clients warmly, answer multi-line phone systems professionally, and direct calls to the appropriate departments.
- Communication: Handle incoming and outgoing mail, including packages and courier services, with accuracy and timeliness.
- Scheduling: Manage the company calendar, schedule appointments, and coordinate meetings, including setting up conference rooms and audio-visual equipment.
- Administrative Support: Assist with data entry, filing, and maintaining accurate digital and physical records.
- Office Operations: Monitor inventory levels for office supplies, place orders as needed, and perform general office maintenance to ensure a clean and organized environment.
- Vendor Liaison: Serve as the primary point of contact for building management and service vendors as required.
Qualifications
- Experience: Minimum of 1-2 years of professional receptionist or administrative support experience is preferred.
- Education: High school diploma or GED required; Associate’s degree in Business Administration or related field is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Exceptional verbal and written communication skills with a professional and friendly demeanor.
- Organization: Strong attention to detail and the ability to multitask effectively in a busy office setting.
- Reliability: Must be punctual, trustworthy, and able to work independently with minimal supervision.
