Responsibilities
- Manage multi-line phone system with professionalism, accurately routing calls and taking detailed messages
- Welcome and screen all visitors, providing exceptional customer service and maintaining a secure reception area
- Coordinate complex meeting schedules across multiple departments using Outlook and scheduling tools
- Process incoming/outgoing mail, manage deliveries, and maintain office supply inventory
- Assist with new employee onboarding including badge preparation and workspace setup
- Support administrative tasks including document preparation, data entry, and expense report processing
- Maintain accurate visitor logs and ensure compliance with building security protocols
Qualifications
- Minimum 2 years of receptionist or front desk experience in a corporate setting
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and scheduling software
- Exceptional verbal communication skills with polished phone etiquette
- Strong organizational abilities with attention to detail and multitasking aptitude
- Professional appearance and customer-focused mindset
- Ability to handle sensitive information with discretion and confidentiality
- High school diploma or equivalent; associate's degree preferred
- Must be available for flexible scheduling including occasional overtime
