Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, directing them appropriately to the correct department or individual.
- Phone Operations: Answer incoming calls in a timely and courteous manner, screening and routing them to the correct team member.
- Administrative Support: Handle incoming and outgoing mail, manage email correspondence, and prepare simple reports as needed.
- Scheduling: Maintain the appointment calendar, coordinate meeting rooms, and send reminders to guests to ensure smooth operations.
- Inventory Control: Monitor office supplies and place orders to ensure the reception area is always well-stocked.
- Customer Service: Assist clients with inquiries and resolve issues efficiently to ensure a positive experience.
Qualifications
- Experience: Previous experience as a receptionist or in an administrative support role is highly preferred.
- Education: High school diploma or GED required; some college coursework is a plus.
- Communication: Excellent verbal and written communication skills in English.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer navigation.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Availability: Must be available to work a part-time schedule, typically Monday through Friday, with occasional weekends or evenings.
