Key Responsibilities:
Responsibilities
- Front Desk Management: Greet and welcome visitors, clients, and vendors with a professional and positive demeanor.
- Phone Support: Answer, screen, and direct incoming calls to the appropriate personnel in a timely manner.
- Administrative Support: Assist with data entry, filing, scanning, and copying documents as needed.
- Mail Management: Receive and distribute incoming mail, packages, and deliveries.
- Scheduling: Manage the calendar for executive staff and coordinate meeting rooms, including setting up conference calls.
- Inventory Control: Monitor and maintain office supply levels, placing orders as necessary.
- Vendor Relations: Coordinate with external vendors for building maintenance and service requests.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Business Administration preferred.
- Experience: Minimum of 1-2 years of experience in a receptionist, administrative assistant, or front desk role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM software.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Appearance: Professional appearance and demeanor consistent with a client-facing role.
- Availability: Ability to work a set part-time schedule, including some evenings or weekends if required.
