Responsibilities
- Front Desk Management: Greet and welcome guests with a professional and friendly demeanor, managing the reception area to ensure a welcoming environment.
- Phone Support: Answer, screen, and transfer incoming calls to the appropriate department or personnel in a timely manner.
- Mail & Packages: Sort, distribute, and manage incoming and outgoing mail and packages efficiently.
- Scheduling: Maintain and update the company calendar, schedule appointments, and send reminders as needed.
- Administrative Support: Perform basic data entry, file organization, and assist with general office tasks to keep operations running smoothly.
- Client Relations: Act as a point of contact for clients and visitors, addressing inquiries and escalating issues to management when necessary.
- Inventory Management: Monitor office supply levels and place orders to ensure the reception area is always stocked.
Qualifications
- Education: High school diploma or equivalent required; Associate's degree or relevant certification is a plus.
- Experience: Previous experience as a receptionist or in an administrative support role is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of office equipment.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Interpersonal: Strong customer service skills with the ability to remain calm and polite under pressure.
- Organization: Ability to multi-task, prioritize tasks, and manage time effectively in a busy office setting.
- Availability: Must be available for part-time hours, including occasional evenings or weekends if required.
