Responsibilities
- Greet and Welcome: Provide a warm, professional greeting to patients and visitors upon arrival, directing them to the appropriate department or staff member.
- Phone Management: Answer multi-line phones with a polite and helpful demeanor, screen calls, take accurate messages, and transfer inquiries to the correct personnel.
- Scheduling: Manage the appointment calendar for the practice, including confirming appointments, sending reminders, and rescheduling as necessary.
- Administrative Support: Handle incoming and outgoing mail, process invoices, and maintain organized filing systems for patient records.
- Check-In/Check-Out: Verify patient information, collect co-pays, and ensure all necessary forms are completed accurately.
- Customer Service: Address patient inquiries and concerns professionally and resolve issues in a timely manner.
- General Office Tasks: Assist with inventory management for office supplies and maintain a clean and organized reception area.
Qualifications
- Experience: Previous experience as a receptionist, front desk assistant, or in a customer service role is preferred.
- Education: High school diploma or GED required.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional and friendly demeanor.
- Organization: Strong attention to detail and the ability to multitask effectively in a fast-paced environment.
- Flexibility: Ability to work varying shifts, including weekends or evenings, as needed.
