Responsibilities
- Front Desk Management: Greet and welcome visitors professionally, manage the reception area, and answer incoming calls with a friendly and helpful demeanor.
- Data Entry & Management: Input, update, and maintain accurate records in our CRM and database systems with a focus on speed and precision.
- Communication: Distribute incoming mail, route emails, and relay messages to staff members promptly and accurately.
- Scheduling: Manage the company calendar, schedule appointments, and coordinate meeting rooms for internal and external stakeholders.
- Administrative Support: Prepare basic documents, scan and file physical records, and assist with inventory or supply management as needed.
- Customer Service: Assist visitors with inquiries and ensure a positive experience for all individuals entering the office.
Qualifications
- Experience: Previous experience as a receptionist or in an administrative support role is preferred.
- Data Entry Skills: Demonstrated ability to type accurately and efficiently (minimum 35-40 WPM).
- Software Proficiency: Must be proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace.
- Attention to Detail: Strong organizational skills with the ability to spot errors and correct them immediately.
- Communication: Excellent verbal and written communication skills in English.
- Availability: Must be available to work part-time hours (e.g., Monday-Friday, 20-30 hours per week).
