Responsibilities
- Front Desk Management: Greet and welcome guests, clients, and vendors in a professional and friendly manner, ensuring a positive first impression.
- Phone & Communication: Answer incoming calls professionally, screen and direct inquiries, and take accurate messages.
- Administrative Support: Handle incoming and outgoing mail, distribute correspondence, and manage the reception area to ensure it is always tidy and organized.
- Scheduling: Assist with calendar management, scheduling appointments, and coordinating meetings for the executive team.
- Data Entry: Maintain accurate records in the company database, including client information and daily logs.
- Office Coordination: Order and maintain office supplies, and assist with basic clerical tasks such as filing and photocopying.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and possess basic computer skills.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Availability: Reliable availability to work part-time hours, including some weekends or evenings as needed.
- Language: Bilingual (English/Spanish) is a plus but not required.
