Responsibilities
- Front Desk Management: Greet visitors, clients, and staff with a warm, professional demeanor, managing the reception area to ensure it is tidy and welcoming.
- Phone Operations: Answer and route incoming calls efficiently, taking accurate messages and handling inquiries with poise.
- Scheduling Coordination: Manage the appointment calendar, coordinate with internal teams, and send reminders to ensure no gaps in the schedule.
- Administrative Support: Process incoming mail, handle data entry, and maintain organized digital and physical filing systems.
- Customer Relations: Assist visitors with directions, inquiries, and basic needs to ensure a seamless experience.
Qualifications
- Experience: Previous experience as a receptionist or in a customer service role is preferred.
- Communication: Excellent verbal and written communication skills with a focus on professionalism and clarity.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new scheduling software.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
