Responsibilities
- Office Management: Oversee daily office operations, including managing incoming calls, emails, and mail, ensuring a professional and organized environment.
- Scheduling & Coordination: Manage calendars, schedule appointments, and coordinate meetings, including preparing agendas and meeting materials.
- Data Entry & Records: Maintain accurate digital and physical filing systems, perform data entry tasks with high attention to detail, and update databases.
- Communication: Act as the primary point of contact for visitors and clients, answering inquiries and directing them to the appropriate personnel.
- Document Preparation: Draft, proofread, and edit correspondence, reports, and presentations using Microsoft Office Suite.
- Inventory & Supplies: Monitor office supply levels, place orders, and manage petty cash or expense reports as needed.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or relevant certification is a plus.
- Experience: Minimum of 1-2 years of proven experience in an administrative or office support role.
- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly.
- Organizational Skills: Strong ability to prioritize tasks, manage time effectively, and handle multiple projects simultaneously.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Interpersonal: Ability to work independently as well as part of a team in a fast-paced setting.
