Responsibilities
- Calendar & Scheduling: Manage executive calendars, schedule meetings, coordinate travel arrangements, and resolve scheduling conflicts.
- Communication Management: Screen and direct phone calls, draft and proofread correspondence (emails, memos, letters), and serve as the point of contact for internal and external stakeholders.
- Document Control: Prepare presentations, reports, and other documents using Microsoft Office Suite with a high degree of accuracy.
- Data Entry & Records: Maintain accurate and up-to-date electronic and physical records, including filing systems and CRM databases.
- Office Operations: Handle incoming mail, manage office supplies inventory, and assist with basic bookkeeping or invoicing tasks as needed.
- Event Coordination: Assist in planning and organizing company events, meetings, and team-building activities.
Qualifications
- Experience: 1-2 years of professional experience in administrative support or an office environment.
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field is preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Organization: Superior organizational skills with the ability to prioritize multiple tasks and meet strict deadlines.
- Communication: Excellent verbal and written communication skills; professional demeanor and telephone etiquette.
- Problem Solving: Ability to anticipate needs and resolve administrative issues efficiently.
