Responsibilities
- General Administration: Answer incoming phone calls, screen and direct inquiries, and manage incoming and outgoing correspondence (email, mail, and faxes).
- Scheduling & Coordination: Schedule meetings and appointments, coordinate travel arrangements, and manage the executive calendar.
- Data Management: Maintain accurate and up-to-date records in our filing system and CRM software; perform basic data entry tasks with a high degree of accuracy.
- Office Support: Order and maintain office supplies, manage inventory, and ensure the reception area is tidy and welcoming.
- Document Preparation: Prepare, proofread, and distribute internal memos, reports, and presentations.
- Customer Service: Assist visitors and clients with their needs, ensuring a professional and helpful experience.
Qualifications
- Education: High school diploma or equivalent required; additional business or administrative training is a plus.
- Experience: Previous experience as an Office Assistant, Administrative Assistant, or in a similar support role is preferred but not mandatory for the right candidate.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with staff and clients.
