Responsibilities
- Front Desk Operations: Greet visitors, answer incoming calls, and route inquiries to the appropriate department with a professional demeanor.
- Mail & Communication: Manage incoming and outgoing mail, packages, and faxes; draft and distribute internal memos and emails.
- Calendar Management: Schedule meetings, book conference rooms, and coordinate appointments for management staff.
- Document Control: Prepare, proofread, and edit documents, presentations, and reports using Microsoft Office Suite.
- Inventory & Supplies: Monitor office supply levels and place orders to ensure the office is well-stocked at all times.
- Data Entry: Maintain accurate records in the company database and assist with basic bookkeeping tasks.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Office Administration or related field preferred.
- Experience: Proven experience (1-2 years) in an administrative support or reception role.
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and experience with CRM software is a plus.
- Communication: Excellent verbal and written communication skills in English.
- Organization: Strong time management skills with the ability to prioritize tasks and meet deadlines.
- Soft Skills: Professionalism, discretion, and the ability to work independently in a fast-paced environment.
