Responsibilities
- Front Desk Management: Greet visitors, answer incoming calls, and manage the switchboard during night hours.
- Data Entry: Accurately input and maintain digital records, invoices, and employee files.
- Scheduling: Manage calendars, schedule appointments, and coordinate meetings for the executive team.
- Communication: Handle email correspondence and relay messages promptly to relevant departments.
- Inventory & Supplies: Monitor office supplies and order necessary materials to ensure operations continue without interruption.
- Report Generation: Compile daily reports and statistics for management review.
- Security Checks: Perform nightly security rounds and ensure the facility is secure before locking up.
Qualifications
- Education: High school diploma or GED required; Associate’s degree preferred.
- Experience: Minimum of 1-2 years of experience in administrative support or office management.
- Availability: Must be available to work night shifts (e.g., 6:00 PM - 6:00 AM or similar).
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Communication: Excellent verbal and written communication skills.
- Organization: Strong attention to detail and excellent organizational skills.
- Software: Experience with scheduling software or CRM systems is a plus.
