Responsibilities
- Manage daily correspondence, including email, phone calls, and internal memos, ensuring timely responses.
- Process and verify invoices, expense reports, and purchase orders with a high degree of accuracy.
- Coordinate and schedule meetings, appointments, and conference room bookings.
- Maintain and organize physical and digital filing systems for efficient retrieval of records.
- Assist in data entry tasks and the preparation of weekly reports for management review.
- Monitor office supplies inventory and coordinate reorders to ensure smooth operations.
- Support the night shift team with general administrative support and ad-hoc projects.
Qualifications
- High school diploma or equivalent (Associate’s degree preferred).
- Previous experience as an Administrative Assistant, preferably in a night shift or 24/7 facility setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and exceptional organizational skills.
- Ability to work independently and proactively in a quiet environment.
- Excellent verbal and written communication skills.
- Reliable transportation and availability for night shifts (e.g., 10:00 PM - 6:00 AM).
