Responsibilities
- Manage incoming communications (calls, emails, mail) and direct inquiries to appropriate personnel
- Maintain office supplies inventory and coordinate procurement processes
- Schedule meetings, appointments, and travel arrangements for executive team
- Prepare and distribute confidential reports, correspondence, and documentation
- Coordinate document management systems and ensure data accuracy
- Provide comprehensive administrative support to night shift staff and departments
- Handle confidential information with discretion and professionalism
Qualifications
- High school diploma or equivalent; associate's degree preferred
- Minimum 2 years of administrative support experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Ability to work independently with minimal supervision
- Flexibility to work night shift (10:00 PM - 6:00 AM) with rotating weekends
- Valid Florida driver's license and reliable transportation
