Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, directing them appropriately and managing the reception area to ensure a welcoming atmosphere.
- Phone and Communication: Answer incoming calls with a polite and helpful tone, screen and transfer inquiries, and take accurate messages.
- Administrative Support: Handle incoming and outgoing mail, manage the company calendar, schedule appointments, and coordinate meetings.
- Data Entry: Maintain accurate and up-to-date records in the CRM and database systems, ensuring data integrity.
- Office Supplies: Monitor office inventory and assist in ordering supplies as needed to keep the workspace fully operational.
- Customer Relations: Address customer inquiries and complaints in a timely and professional manner, escalating issues when necessary.
- Special Projects: Support the administrative team with various ad-hoc projects and special events as required.
Qualifications
- Experience: Previous experience as a Receptionist, Front Desk Associate, or in a general Office Support role is preferred (1-2 years minimum).
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Strong attention to detail and the ability to prioritize multiple tasks in a busy environment.
