We are seeking a highly organized, professional, and personable Receptionist to join our growing team in the heart of Austin, Texas. As the first point of contact for our clients and visitors, you will play a pivotal role in creating a welcoming atmosphere and ensuring our front office operations run seamlessly.
In this role, you will be responsible for managing incoming communications, supporting administrative functions, and assisting various departments with daily office needs. Responsibilities
- Front Desk Management: Greet all visitors and clients professionally, determine their purpose of visit, and notify the appropriate staff member.
- Communication Hub: Answer and direct phone calls to the correct extension, take accurate messages, and screen incoming calls to minimize interruptions.
- Mail & Distribution: Sort, open, and distribute incoming mail and packages; handle outgoing mail with proper postage and tracking.
- Meeting Coordination: Schedule and arrange meeting rooms, set up conference equipment, and prepare meeting materials as needed.
- Administrative Support: Assist with data entry, filing, and maintaining electronic and hard copy records with a high degree of accuracy.
- Inventory Management: Monitor office supply levels and place orders for necessary materials to ensure the office is always stocked.
- Vendor Relations: Interact with delivery services and vendors as required for office operations.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Experience: Minimum of 2 years of professional experience as a Receptionist or in a general office support role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with basic CRM software or phone systems.
- Communication: Excellent verbal and written communication skills with a professional and friendly demeanor.
- Organization: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment.
- Interpersonal: Ability to work well independently as well as part of a team; strong problem-solving skills.
