Responsibilities
- Front Desk Management: Greet all visitors warmly, answer multi-line phone systems professionally, and direct inquiries to the appropriate departments.
- Data Entry & Administration: Accurately input and update client information into our database and CRM systems with a focus on speed and precision.
- Document Management: Handle incoming and outgoing mail, manage filing systems, and scan documents for digital archiving.
- Schedule Coordination: Manage calendars, schedule appointments, and coordinate meeting rooms for internal and external stakeholders.
- Vendor Relations: Handle incoming deliveries and coordinate with external service providers (couriers, maintenance) as needed.
- General Support: Assist the administrative team with special projects and ad-hoc tasks to ensure daily operations run efficiently.
Qualifications
- Experience: Minimum of 2 years of experience in a receptionist or administrative support role, preferably in a corporate setting.
- Education: High School Diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
- Tech Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with database management software.
- Typing Speed: Demonstrated ability to type at least 45 WPM with high accuracy.
- Communication: Excellent verbal and written communication skills; ability to interact professionally with clients and staff at all levels.
- Reliability: Punctual, dependable, and able to work full-time hours with occasional flexibility for overtime.
