Responsibilities
- Manage multi-line phone system with 50+ daily calls, screening and routing to appropriate personnel
- Coordinate executive calendar management, scheduling complex meetings across global time zones
- Oversee visitor reception process including badge issuance, security protocols, and conference room coordination
- Manage office inventory, supply procurement, and vendor relationships for facility services
- Support administrative functions including document preparation, mail processing, and expense reporting
- Coordinate catering services for executive meetings and corporate events
- Maintain professional reception area appearance with daily upkeep and seasonal dΓ©cor updates
- Assist with new employee onboarding including workspace preparation and equipment setup
Qualifications
- Minimum 3 years of corporate receptionist or executive administrative support experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional verbal/written communication skills with professional phone etiquette
- Strong organizational abilities with attention to detail in high-pressure environments
- Ability to multitask and prioritize competing demands with minimal supervision
- Discretion in handling confidential information and sensitive situations
- Experience with scheduling tools (Calendly, Doodle) and calendar management systems
- High school diploma required; bachelor's degree preferred
