Responsibilities
- Manage executive calendar scheduling across multiple time zones using Outlook
- Coordinate complex domestic/international travel arrangements and expense reporting
- Oversee vendor relationships for office supplies, catering, and facilities maintenance
- Implement digital filing systems and maintain confidential executive records
- Lead onboarding process for new hires including equipment setup and orientation
- Organize high-level board meetings and executive offsites
- Act as primary liaison for building management and security protocols
Qualifications
- 5+ years executive receptionist or high-level administrative support experience
- Advanced proficiency in Microsoft Office Suite and scheduling software
- Exceptional written/verbal communication skills with executive presence
- Proven ability to manage competing priorities with discretion
- Experience coordinating complex travel itineraries
- Knowledge of office management systems (e.g., Copier, HVAC, security)
- Associate degree or equivalent professional certification required
